Optional Features
The ScanFile core program comes complete with everything you need to create folders and scan and import documents into them. The following options can be
added to enhance the functionality of your ScanFile 2003 document management solution.
Network Seats - this option adds concurrent seats to the core program. Seats can be added in increments of 1, 5 10, 20 or 50. ScanFile can thus easily support your company's growth.
Global Index - this adds support for libraries into ScanFile. This includes a Conditional Import feature where only specific records that match a defined criteria are imported in to a library.
Keywords - This allows keyword lists to be applied to any record. By assigning keywords to folders, it greatly improves the a search of ScanFile folders and libraries.
Export - the export option allows you to export complete folders/libraries to a selected drive and directory. All documents will be exported and a data file will be created with the index information associated with the documents.
OCR - the OCR module has two functions.
Zone OCR can automatically index scanned documents from data contained within the page of a document.
Full Text OCR creates a searchable word list from scanned documents, allowing you to search the contents of documents.
Barcode - this allows ScanFile to automatically read and index bar-coded documents.
 Forms Recognition - Multiple forms can be programmed. ScanFile will automatically detect which form is being scanned. Automatic indexing can be done based on the form. Please note that the OCR option is required for Forms Recognition.
TIFF Writer - TIFF Writer is a Windows printer driver that allows you to 'print' from any Windows application into a ScanFile folder. The 'print' will be converted to a TIFF format.
COLD - this module adds support for importing computer generated spool data, which might otherwise be held in printed form. COLD (Computer Output to Laser Disk) is the technology of transferring computer generated reports or other print output to optical disk or CD. Approximately 500,000 pages of computer generated reports will fit on a single CD! This imaging technology is extremely valuable for storing as well as distributing bulky, cumbersome reports throughout any organization. COLD also eliminates the need to make multiple copies of documents such as invoices, purchase orders, financial statements, check statements, etc. This technology also allows you to find any specific information contained anywhere in your reports instantly.
 Audit Trail - Detailed and configurable logging of user activities. With the Audit feature, every event performed by all users can be logged to a central database for later review or print. Events to be viewed can be selected by folder, library, user, and within a given date range.
 Document Routing - Documents can be assigned to pre-defined routes that will send documents to specific users and /or folders for reviewing/commenting and approval. Each route can have multiple steps and documents can be sent from route to route.
LuraDocument - The LuraDocument file format compresses image files to a higher degree that TIFF or JPEG, whilst preserving the quality of though document.
Kofax - With the Kofax option, support is added to ScanFile for any scanner, which works with the Adrenaline Image processing board and Image Controls V3.0.
 VNP - Virtual Network Printer - ScanFile incorporates a powerful software component called VNP. Unlike other products, this is not a printer driver but a full 'software' printer. You can create up to eight (8) virtual printers which allow you to 'print' documents. These are then converted to TIFF format and saved to specific directories from where they can be automatically imported into ScanFile folders.
eCopy Console Integration ** - The eCopy console integration enables Canon's range of intelligent printers to become ScanFile scanning stations.
 CanoFile Conversion - A special utility imports CanoFile 250/510 and CanoFile for Windows 1.x and 2.x into ScanFile . Images are imported and original indexing is retained.
