Core Program Features

ScanFile 2003 is powerful, scalable, yet easy to use. The core program includes all of the following features and capabilities:

Intuitive User Interface - With its user friendly graphical interface, ScanFile is very easy to learn. A user can be trained under 15-minutes how to search and retrieve documents.

User-Defined Index Fields - Up to ten (10) index fields can be defined. Each field can be individually configured with a variety of settings including OCR, bar code, date, increment, and many other. (Keywords, an option, greatly increases the indexing capability)

TWAIN Interface - B&W and Color scanning and image acquisition support via any device that supports TWAIN interface. This includes paper scanners, film scanners, and digital cameras.

Built-In Optimized Canon Scanner Drivers provide for improved performance and special features such as automatic paper size detection. Special features available depend on the scanner selected. Canon built-in drivers include the DR2080C, DR3020, DR3060, DR3080, DR5020, DR5020, DR5060F, DR5080C, and CF510/510S paper scanners as well as the MS400, MS500 and MS800 Microfilm Scanners.

PDF Support **- Records, or images within a record, can be "sent" to a file or via e-mail in PDF format. Single-page and multi-page TIFF format is also supported.

Microsoft Office Integration - ScanFile is fully integrated with Microsoft Office 97, 2000, and XP.

Copy/Move - Records, or individual images within a record, can be moved or copied to another folder.

Security - Users and groups can be created, with users assigned to a group or groups, and then those groups given rights to folders and libraries. Access to each ScanFile function can be enabled or disabled for each user or group. Groups are granted access so they can just view the data, to where they have administrative control.

Secure Data Capture - Independently audited, ScanFile has facilities that enable it to be used in a manner compliant with the BSI DISC Code of Practice for Legal Admissibility and Evidential Weight of Information Stored Electronically (PD0008). Documents can be stored with greater confidence and peace of mind.

Full Text Search - Documents that have been OCR'ed can be fully searched for images containing a specific word, group of words, or combination of words.

View Multiple Documents - Up to four documents can be simultaneously open.

Retention Control - A retention period can be assigned to a document together with a trigger event and disposal action. Upon reaching a pre-defined age a document may be set for reviewing, moving to off-line archive, exported to an external archive or destroyed.

Network - Efficient access to documents is vital to all companies. ScanFile allows multiple users to store and access documents on the system, enabling them to work with information simply and efficiently from the convenience of their desktop.

 Compatibility - Storing scanned documents as either Group 4 TIFF or JPEG files allows many other software packages to use the documents stored by ScanFile. For large storage capabilities, ScanFile is able to retrieve images from a wide range of mass storage devices.

Outside In Technology ** - The 'Outside In' document reader library from Stellent Inc. enables ScanFile to read and display around 200 document formats without the need for those applications to be installed on the retrieval computer. These document formats include everything from word processing packages to graphics and CAD programs.

Flexible - ScanFile's modular architecture allows for solutions to be tailored for specific application requirements. Flexibility is significantly enhanced with options for COLD, barcode and OCR indexing. Electronic document support allows users to store any Windows based document format, including word processed documents (Word), spreadsheets (Excel), e-mail, voice mail, movie files and audio files in to a ScanFile folder.

Remote Scheduler - Remote Scheduler is an external application that performs automated functions such as image import, COLD import, OCR, library updates, and more. The ScanFile 2003 Scheduler, combines into one application the previous ScanFile 2000 Library and Electronic Document schedulers.

ScanFile Wallet - ScanFile documents can be combined into a portable Wallet file. This file can be opened and viewed by any recipient using a license-free viewing utility. With this feature, a copy of an individual's personal records can be provided to the individual, along with the capability to view the data. Up to 50 records can be copied into a ScanFile Wallet.

Multi-Language Support - ScanFile 2003 can be easily configured with the following languages: English (American and British), German, Dutch, and French. Other languages such as Japanese, Korean, and Chinese (Traditional and Simplified) are available upon request.

Document Storage - Support for a large variety of storage options including Network, CD, Jukebox, Hard Disk, DVD, Removable Drives, and many others.
